How to Create a Photo Album in Microsoft PowerPoint

Slideshows aren’t just useful for business presentations. You can use Microsoft PowerPoint to create a photo album and add music or visual effects for a memorable show.

For personal presentations for special occasions like weddings and birthdays, or even for organization slideshows where the focus is on photos, let’s see how to create a photo album in PowerPoint.

Set up a photo album in PowerPoint

Open PowerPoint and create a blank presentation or use an existing presentation. When you create the photo album, PowerPoint automatically places it in a new slide show.

Go to the Insert tab, select Photo Album > New Photo Album in the Pictures section of the ribbon.

New photo album in the Insert tab

When the Photo Album window opens, start by adding the photos you want to use. On the left, under Insert picture from, click “File/Disk”.

File, Disc button to insert photos

You can select one photo at a time or several by using the Ctrl key when you click on each one. Click “Insert” and these photos appear in the Album Pictures box of the Photo Album window. Continue the same process until you have added all the photos you want.

List of photos in the album

You can rearrange the order of the photos by selecting one of them and using the up and down arrows under the “Photos in album” box. You can also use the Delete button to delete a photo you added.

If you want to add a text slide to the photo album, click “New text box” on the left. You can then use the up and down arrows to place that slide where you want it. You can also include other text slides. You will add the text to these slides once you have created the presentation.

Edit photos

You have a few options for editing or fixing the photos in your album. For a unique look, you can use black and white for all photos. Check the box on the left under Photo Options for All black and white photos.

If you want to keep your photos as they are but make some slight adjustments, you can do that too. Select a photo from the list by checking the box. On the right, below the photo preview, you have buttons to rotate the image, adjust the contrast, and increase or decrease the brightness.

Personalize the photo album

Another part of setting up your photo album is choosing the layout. At the bottom of the photo album window, use the Image Layout drop-down box to select the layout you want. You can use the “Fit to Slide” option or choose one, two or four photos per slide, with or without a title.

When you choose a layout of one, two or four photos, you will see that the grouped photos are indicated by numbers in the Pictures area in the album. Again, you can use the up and down arrows to reorder them.

If you select a layout other than Fit to Slide, you can add a frame to photos. Use the Frame shape drop-down list to choose between a rectangle, rounded rectangle, or soft-edged frame.

Captions are another feature you can use if you’re having trouble fitting your photos into the slides. Check the box on the left under Image Options for captions under all photos. This allows you to insert a text box on each slide, below the image, with the name of the photo. You can keep this legend or modify it to make it more descriptive.

Checkbox to add captions

If you have a theme on your computer that you would like to use, press “Browse”, choose the theme and click “Select”.

Create or modify the photo album

When you’re done setting up the photo album, click “Create” and you’ll see your new slideshow.

You can then add text for captions, titles, or text slides if you have selected those options. You can also choose a design idea on the right, apply transitions or animations, or add music if you want.

Save your slideshow as you normally would. Then, if you want to make changes to the photo album, go to Insert > Photo Album > Edit Photo Album.

Make your changes and click “Update” to apply your changes.
